Shiny mobile car detailing vans

Case study · Shiny

An operating system for mobile car detailing

Generic booking tools gave Shiny a calendar and an invoice. We gave them a dispatchable workforce, automated payment reconciliation, built-in payroll math, and a marketing engine — purpose-built for mobile detailing.

Not a generic booking tool with detailing bolted on.

Platforms like BookingKoala or Housecall Pro handle scheduling and invoicing for home services broadly. They don't know what a detailing job is — the vehicle types, the travel between driveways, the before-and-after photos, the tips, the payroll math that comes with a mobile crew.

Shiny needed the full lifecycle in one system: from the first quote, through dispatch and payment, to the rebooking that keeps a customer coming back. So we built it.

Existing platforms give you a calendar and an invoice. Shiny gives you a dispatchable workforce, automated payment reconciliation, built-in payroll math, and a marketing engine.

What we built.

Five systems, one platform — the entire business of mobile detailing, from quote to rebooking.

01

A booking funnel that sells for them

Customers get a real quote and a real slot — not a contact form and a callback.

  • A guided 8-step booking flow with instant quotes, live availability, vehicle-type pricing, and multi-vehicle discounts — 15% for 2–5 vehicles, 20% for 5 or more.
  • Self-service booking management: customers reschedule or cancel with just their phone number. No phone call, no staff time.
  • Smart availability that does real slot math — job duration, travel buffers, technician capacity — with a “next available” fallback and a waitlist when a day fills.

02

Dispatch that runs the day

The schedule is a live operations board, not a calendar with hopes attached.

  • Drag-and-drop daily schedule with double-booking prevention, travel-time routing, and one-move technician reassignment.
  • A technician mobile app: job cards, GPS clock-in/out, photo capture with AI license-plate blurring and branded watermarks, payment capture, and direct SMS chat with customers.
  • Customer address privacy built in — technicians see tomorrow's addresses only after 8 PM the night before.

03

Payments that reconcile themselves

Money in, matched to the job, the technician, and the day — automatically.

  • Square and Clover integration with an automated reconciliation engine that matches payments to bookings by technician, day, and amount — including grouped payments, tips, cash, and gift cards.
  • Profit analysis with real payroll math: CPP, EI, overtime, and BC stat-holiday average pay computed automatically.
  • Fixed-cost tracking by date range, invoices with PO numbers, and auto-marked payments.

04

A marketing engine, not a plugin

Growth tooling built into the same system that runs the jobs.

  • Text and email campaigns with daily send caps, 30-day exclusion windows, and city-level targeting.
  • Full-funnel analytics — GA4, Google Ads, and Meta conversion tracking from first visit to paid booking.
  • A referral program with automatic credit issuance.
  • Programmatic SEO: hundreds of dynamic pages for cities, car brands, and real vehicle photos.

05

Security and admin for a real company

Staff get exactly the access they need, and every sensitive action leaves a trail.

  • Role-based access control with masked customer contact info and an audit log of every reveal.
  • Staff productivity tracking — bookings, reschedules, cancellations, texts, and call talk time per employee.
  • An API key system so third-party platforms — fleet managers, partner apps — can book, reschedule, and cancel securely without touching the website.
