Case study · YPO
Canada Region Hub
One platform that finds, qualifies, assigns, nurtures, and reports on prospects — scoped per chapter and fully white-labeled.
Three tools' jobs, one platform.
YPO's Canada region was running its membership pipeline across tools that each understood only a third of the problem. Sourcing tools like Apollo and Sales Navigator can find people but don't own the relationship. CRMs like Salesforce and HubSpot track relationships but don't understand chapters. Membership systems like Personify, MemberClicks, and Gantta manage members but can't find people. And the event and email tools sat separately from all of it.
So we built the Canada Region Hub: one white-labeled platform that does all three — sourcing, relationship, and membership — scoped per chapter, with governance an organization like YPO can actually stand behind.
Sourcing tools don't own the relationship. CRMs don't understand chapters. Membership systems can't find people. This system does all three in one place.
What we built.
Seven systems, one hub — the entire membership lifecycle, from first search to signed member.
01
Chapter tenancy
Every chapter is its own world — its own people, its own rules, its own page.
- Each chapter is its own tenant with role-scoped access: master admin, regional manager, chapter manager, membership officer, member.
- Sub-chapter portals, per-chapter timezones, and a landing page of its own for every chapter.
- Fully white-labeled — no vendor branding anywhere a member or prospect can see.
02
Prospecting that respects the budget
Paid data is treated like money — never lost, never bought twice.
- Filtered search by title, industry, company size, revenue, and location.
- Results auto-save instantly so paid data is never lost; duplicates are skipped so you don't pay twice.
- When credits run low, the system says so plainly instead of showing “0 found”. Every search's criteria is logged.
03
Data quality you can defend
Every field is sourced, labelled, and auditable — nothing invented.
- City, province, and country filled properly; revenue labelled published vs estimated — never invented.
- Photos sourced from three fallbacks and stored privately.
- 40 Under 40 discovery reads published award lists and cites each source.
04
An AI layer that does real work
Not a chatbot bolted on — intelligence woven into the membership workflow.
- A warm-intro recommender surfaces which members likely know a prospect.
- AI company summaries, a document knowledgebase, and an event chatbot.
- An SMS chatbot that answers or escalates — unanswered texts become high-priority tasks automatically.
05
The full lifecycle, chapter by chapter
From first touch to member — with a paper trail at every step.
- Configurable statuses with chapter overrides and structured dismissal reasons.
- Officer-only assignment, reassignment with a reason, and a full audit trail.
- Follow-ups, tasks, and workflows built in.
06
Communications from the region's own voice
Every email and text comes from the chapter — not from a platform.
- Email templates with chapter overrides and test-send before anything goes live.
- Automatic notice to the officer and manager when a prospect lands in their chapter; welcome emails on join.
- Per-chapter SMS threads, and email sent from the region's own domain.
07
Portal, content, and governance
A member-facing home and an admin foundation built to be audited.
- Database-driven home page, events, videos, directory, leadership roles, networks, and demographics.
- Magic-link member login with tracking.
- Row-level security on every table, server-side role checks, activity and login logs, and CSV reports.
